Information we collect

We collect personal information you give us: your name and contact details, appointment requests, patient records, insurance information, and anything you send us through this website.

When you use the website, basic technical data such as your IP address, browser type and the pages you visit may be recorded by our hosting provider in routine server logs.

How we use it

We use your information to schedule appointments, provide dental care, communicate about treatment, process billing and insurance claims, answer enquiries, improve our services, and meet our legal obligations.

Your health information

Patient records, treatment information and other health details are collected, stored and handled in accordance with Ontario's Personal Health Information Protection Act (PHIPA) and our professional obligations to the Royal College of Dental Surgeons of Ontario. Access is limited to authorized members of our team, and records are kept for the period our College requires.

Online booking

The "Book online" buttons take you to our appointment booking system, TrackerCloud, which is operated by a third-party provider on our behalf. Details you enter there are used to schedule your appointment.

AI Smile Scan

The Smile Scan shows a simulated preview of your smile from a photo you choose. Depending on how the scan is running, your photo is either processed entirely in your browser or sent securely to Google's Gemini service to generate the preview. The page tells you which before you upload. We don't store your photo, and the preview is an illustration, not a diagnosis or a treatment plan.

Chat assistant

Our website assistant answers general questions about the practice using information published on this site. Your messages are sent to Google's Gemini service to generate replies, and we don't store your conversations. Please don't share personal health details in the chat. Call us instead.

To prevent abuse, we count how many times each internet (IP) address uses the Smile Scan and the chat assistant. These counts are kept only in temporary server memory and are cleared within 24 hours.

Cookies, analytics, maps and reviews

We use Google Analytics, through Google Tag Manager, to understand how visitors use this website, and to measure when someone taps "Book online" or our phone number, including visits that came from our Google Ads. These tools set cookies and send Google data such as your IP address, device and browser type, and the pages you visit, which Google processes under its own privacy policy. We don't use this data to identify you. You can block cookies in your browser, or opt out of Google Analytics with Google's browser add-on (tools.google.com/dlpage/gaoptout).

Our contact page embeds a Google Map, and our homepage shows reviews from Google. When those load, Google may process data such as your IP address under its own privacy policy. Links to other websites are governed by those sites' policies.

Sharing your information

We never sell your personal information. We share it only as needed to provide your care (for example with a specialist you're referred to), to process insurance and CDCP claims, with service providers who help us run the practice and this website, or where the law requires it.

Protecting your information

We use reasonable administrative, technical and physical safeguards to protect your information. No method of transmission or storage is completely secure, but we work to protect your data and review our safeguards regularly.

Your rights

You may ask to access or correct your personal and health information, ask how it's being used, and withdraw your consent where the law allows. If you have concerns we haven't resolved, you can contact the Information and Privacy Commissioner of Ontario.
